Amend UCR via Export Voyage

If you would like to amend a UCR associated with a specific visit, follow this section.

This section of the guidance covers how to amend UCR details such as UCR #, Loaders refer etc. You can use this function in the event the UCR is not recognised or if any associated information requires updating such as port of destination.

From the Global Navigation Bar select Manage and under Shipment select Maritime Export.

The Export Lite Voyage Search page is returned. To search for the relevant visit, enter the vessel name or IMO number in the search box and click .

When you start typing in the search box, it will show a drop down list of matching results which you can select from.

The search results can be sorted by any column header, by hovering over the chosen header and clicking on which appears to the right of the column header

Additional Search Filters & Features

­You can also filter the results by vessel arrival/departure dates, by inputting the date in ‘the ETA date from’ and ‘ETD date to’ boxes to the right.

To show more filter options, click on where you can search by:

  • UVI

  • IMO

  • Port of Destination

  • Registered Shipping Line

  • Status

The applied filters will show under the search box and can be removed at any time by clicking on or alternatively you can remove all filters by clicking

Export Lite Voyage Search page

Once you have located the relevant Voyage/Visit, click anywhere on the voyage row to open the Manage Export Lite Voyage page.

Within the Manage Export Lite Voyage page, the first section shows the voyage/visit details.

Under the section Export Lite UCR Details, there is a list of UCRs that have already been linked to this visit/voyage.

UCR Search Filters

To search a UCR, entering the following search criteria in the empty search fields and all matching UCRs based on the search criteria will automatically appear in the UCR List as per below.

The search results can also be sorted by any column header, by hovering over the chosen header and clicking on which appears to the right of the column header

  • UCR #

  • Loader Reference #

  • PoD

  • SOE

  • ROE

  • Hold Status

  • UCR Status

  • Process Status

Once you have found the relevant UCR in the search results, you can either amend the UCR directly or view the UCR details before amending.

Option 1 - To edit directly, click on the to the right of the UCR row to make changes to that specific UCR.

Option 2 -To view the visit details before amending, click anywhere on the UCR row to open the Manage Export Lite UCR page. Once ready to edit, you can select EDIT at the bottom right side of the page.

The Manage Export Lite UCR page is returned where you can edit the following UCR Details:

Mandatory fields are marked with an asterix(*).

This reference is generated by CHIEF/CDS once a customs entry is submitted and must be minimum 12 to maximum 35 characters

Part #

No more than 3 characters

Booking Reference #

Enter any internal booking reference (no more than 11 characters).

Port of Destination (PoD)*

Start typing port name or port code and select from the search results. Only ports that have been registered to this visit will be available for selection.

Final destination

Enter the final destination by typing port name or port code and select from the search results.

Loader*

Enter the loader name or their 11 digit code by typing the first 3 letters/digits and select from the search results.

Loader Reference*

Enter any internal references (no more than 10 characters)

At the top of the page & in the UCN field, you will see the individual UCR reference number which is generated by Cargoes and cannot be amended.

SOE (Status of Entry) and ROE (Route of Examination) can only be updated by HMRC.

If you tick the small box to the right of the UCR # field, this will force through an invalid UCR format. See Section FAQs & Troubleshooting to find out when the UCR # may not adhere to the standard UCR format.

Option to copy/add another UCR

At the bottom right side of the page, there will be the following options to tick before submitting:

Tick boxes & Option to Reset or Submit

Both these options will open the Register Export Lite UCR page so you can link another UCR # to the visit.

Copy and add another UCR - Tick and when you click SUMBIT, all the UCR details except the UCR#, part # and Booking Reference are copied over.

Add another UCR - Tick this and when you click SUMBIT, all UCR fields are empty.

Once the amendments are completed, click SAVE at the bottom right side of the page or RESET to cancel.

Once saved, you will see a notification at the top of the page confirming your UCR has been successfully updated.
