Register a UCR

This section of the guidance covers how to register an individual UCR linking it to a visit/voyage.

This section of the guidance covers how to register a consignment UCR or Customs declaration UCR whilst linking it to a specific visit/ UVI.

When you register the UCR it will be possible to view the customs status to support in the management of the vessel loading process.

Register a UCR

Refer to section VISIT SEARCH to check if the visit has already been registered.

UCRs can also be registered in bulk. Refer to section REGISTER MULITPLE UCRS for more instructions.

From the Global Navigation Bar select Manage and under Shipment select Maritime Export.

The Export Lite Voyage Search page is returned. To search for the relevant visit, enter the vessel name or IMO number in the search box and click .

Additional Search Filters

­You can also filter the results by vessel arrival/departure dates, by inputting the date in ‘the ETA date from’ and ‘ETD date to’ boxes to the right.

To show more filter options, click on where you can search by:

  • UVI

  • IMO

  • Port of Destination

  • Registered Shipping Line

  • Status

The applied filters will show under the search box and can be removed at any time by clicking on or alternatively you can remove all filters by clicking

Export Lite Voyage Search page

Once you have located the relevant Voyage/Visit, click anywhere on the visit row to open the Manage Export Lite Voyage page.

Within the Manage Export Lite Voyage page, the first section shows the voyage/visit details.

Under the section Export Lite UCR Details, there is a list of UCRs that have already been linked to this visit/voyage.

To register a new UCR and link it to the visit, click on the right side of the UCR list.

Data required

UCR # *

This is a unique reference assigned to the consignment and is the means by which the user and HMRC can identify goods to the trader records. It must be minimum 12 to maximum 35 characters.

Part #

No more than 3 characters.

Booking Reference #

Enter any internal booking reference (no more than 11 characters)

Port of Destination (PoD)*

Start typing port name or port code and select from the search results. Only ports that have been registered to this visit will be available for selection.

Final destination

Enter the final destination by typing port name or port code and select from the search results.

Loader*

Enter the loader name or their 11 digit code by typing the first 3 letters/digits and select from the search results.

Loader Reference*

Enter any internal references (no more than 10 characters)

If you tick the small box to the right of the UCR # field, this will force through an invalid UCR format.

At the bottom right side of the page, there will be the following options to tick before submitting:

Tick boxes / Option to reset or submit

Both these options will open the Register Export Lite UCR page so that you can link another UCR # to the visit.

Copy and add another UCR

Tick and when you click SUMBIT, all the UCR details except the UCR#, part # and Booking Reference are copied over.

Add another UCR

Tick this and when you click SUMBIT, all UCR fields are empty.

Once completed click SUBMIT at the bottom right side of the page or RESET to cancel.

Once submitted, you will see a notification at the top of the page confirming your UCR has been successfully registered.

The Manage Export Lite Voyage page is returned and the registered UCR will now appear in the UCR list.
