Party Directory

This function allows user to save parties (Agent, Carrier, Consignee, Consignor, Driver, Notify Party, Person Lodging Summary declaration, Supervising Office, Warehouse) and their corresponding details with a short code of choice and progressively use the same while filling the declaration. The carrier details, party details can be retrieved by the short code or name used in saving the parties in the Party directory.

Furthermore, the Party directory details can be created and saved and subsequently retrieved as highlighted below:

To access Party Directory , navigate to the safety and security dashboard and click on the manage tab to select 'Party Directory from the list of dropdown.

Select ‘Add to Party Directory’ at the right-hand corner as displayed below

Click the drop down of the ‘Select Party’ tab to pick the appropriate party to be saved as part of the party directory.

Pick the appropriate party and the full form is displayed, fill the corresponding party name and short code of choice and country (these are mandatory fields), other fields are to be filled appropriately for easy retrieval when filling declarations and click save for the party details to be added to the party directory. (The more details filled on this page, the more information user can retrieve while creating a declaration)

Click save once the relevant details has been filled and click ‘OK’ on the confirmation page

The party details are then added to the account and shown on the party directory list as displayed below:

The search tab allows user to search through the party directory with any of the tabs on the search functionality. (i.e., search the party directory list using party name etc.)

Alternatively, Party directory can be saved while creating declarations by following the steps below:

Fill the declaration details up until Party details tabs and click ‘Add to Party Directory’ tab

The add party form pops up, fill the details, and click save, the party details would automatically be added to the party directory and can then be retrieved respectively.

Retrieving Party Details

After adding the party details to the party directory, to proceed with the declaration, Party details can be auto filled should user want to fill in party details with Name and Address option.

This can be retrieved from the already saved list of party directory and the corresponding details are automatically auto populated, this is also applicable to the party details for any of the parties saved.

The fields also allow smart search and drop down of the party names that is available on the account by typing the first few letters of the party name and then pick the one that applies as shown in the test sample below:

N.B – Carrier details and Party details tab can be filled without adding the details to the party directory, but in such instances, user will need to keep filling the details manually when creating declaration.
